General Services

The General Services unit is responsible for all services provided by the company. These include maintaining the warehouse, the central receiving department, the mailroom and the shipping department. The department is also responsible for key and room management, the vehicle fleet, laundry exchange and event management.

In addition, it organizes the Institute's internal and external transportation and is responsible for external service providers such as security guards, energy suppliers, lawn and garden maintenance, winter services and cleaning.

The staff includes the functions of the fire protection officer and the hazardous materials officer at the DIfE.

Finance and Controlling

The Finance and Controlling Department coordinates and monitors the general financial situation of the DIfE and performs internal and external accounting as well as liquidity management.

Further tasks include, in particular, the planning and control of the institutional budget as well as the administrative processing and financial handling of all third-party funded projects and external grants.

Furthermore, the department is responsible for the preparation of monthly and annual financial statements as well as for all tax matters of the institute.

Information Technology

The Information Technology Department operates, monitors and maintains the complete IT infrastructure at DIfE with the highest quality and ensures a reliable accessibility to the complex IT-system.

In doing so, it creates the necessary information technology conditions for scientific and administrative work, plans and coordinates continuous development, and is responsible for the security of data and all IT processes.

In addition, the unit is responsible for the support of complex business application software and for the archiving of data.

Human Resources and Social Services

The Human Resources and Social Services Department is responsible for the processing of all personnel matters at the DIfE.

These include, in particular, personnel planning and controlling, recruitment and hiring, job evaluations, and personnel processing including payroll accounting and reporting.

In addition, the unit is responsible for matters related to personnel rights, education and continuous trainings.

Planning / Building Service

The Planning and Building Service department coordinates and controls the new major construction and renovation activities at the DIfE.

This includes, in particular, the non-delegable tasks of the building owner, the project management, the coordination with external architecture and planning offices and, in the case of individual measures, the supervision and coordination of the executing construction companies.

The unit is in direct contact with the relevant authorities and is responsible for budget control. It participates in development plans and redevelopment strategies and prepares statistics and reports for construction measures.

Facility Management

The Department of Facility Management is responsible for the 24/7 operation of the diverse technical infrastructure of the institute, especially for the facilities of the Max Rubner Laboratory - the central animal facility at DIfE.

Thus, it ensures the continuous entry to the building and laboratory technical facilities and coordinates all maintenance and repair work as well as plans for strategic expansion.

From planning, development, preparation of specifications, project execution, commissioning, acceptance, drawing and revisions to handover to the researchers, this unit carries out all work steps necessary under its own responsibility.

The staff sees itself as a reliable service partner for DIfE researchers.

General Procurement / Contracting Office

The General Procurement and Contracting Office handles all procurement processes at DIfE.

It procures capital and consumer goods, orders general services and maintenance services, and commissions the maintenance and repair of equipment and facilities. Corresponding contracts are managed and monitored in a management system.

In addition, the unit is responsible for implementing procurement regulations, adapting forms for procurement procedures, and providing comprehensive advice to departments on procurement law and procedures.

The unit conducts both national and Europe-wide tenders for all investment measures, including the award of construction contracts, in accordance with current regulations.
